How to Deliver Listing Photos and Video to Real Estate Agents
For a real estate agent, your photos are only useful once they are on the listing. The agent is waiting on you to go live, so delivery is part of the product, not an afterthought. Photographers who deliver fast, in the right formats, through one clean link are the ones agents book again.
Agree on turnaround before the shoot
Next-business-day delivery is a common standard in real estate photography, and some photographers offer same-day for a rush fee. Whatever your standard is, put it on your price list and in the booking confirmation, so the agent can plan the listing date around it.
Deliver the sizes agents actually need
- Web and MLS size: most MLS systems limit image dimensions or file size, so a resized set saves the agent from resizing (check the limits for the MLS your agents use)
- Full resolution: for print, brochures and signage
- Both sets named the same way, in the order you want them shown
Put the exterior hero shot first. Many agents upload in the order they receive files, and the first image becomes the listing thumbnail.
Branded and unbranded video
Many MLSs do not allow agent or photographer branding in listing media, so agents often need an unbranded version of a walkthrough video or virtual tour for the MLS and a branded version for social media and their own website. Delivering both, clearly labeled, saves a follow-up email.
One link, not five
If photos come from one service, the video from another and the invoice by email, the agent has to piece it together. One link that holds the photos, the video, the floor plan and the invoice is easier to share with a co-listing agent, the seller or the brokerage's marketing team.
- A single page per property, with the address as its title
- A "download all" option at full resolution
- Video that plays in the browser, not only as a huge download
- The invoice and a way to pay, next to the files
- Access that keeps working: agents come back for the photos when a listing is relaunched
Protect your work without slowing the agent down
If you want control over who can see a gallery, a password or an expiry date on the share link works better than emailing attachments around. If you hold full-resolution files until payment, say so upfront and make paying a one-tap step on the same page.
Follow up after delivery
A short note when you deliver ("Photos and video for 42 Maple Ave are ready, here is the link") and a check-in when the listing goes live builds the relationship. When the property sells, that same agent has their next listing.
How PhotoCRM handles delivery
PhotoCRM gives every client a branded portal where they can view and download their photos and video at full resolution, pay the invoice and sign contracts, all in one place. You can also send a share link with a password or an expiry date, and video streams in the browser instead of forcing a download. A "photos ready" email goes out from the project in one click. The free plan includes 20GB of storage, with upgrades if you shoot a lot of video.
